Position Title: Customer Service Representative
Department: City Hall
Schedule: Monday – Friday, 8:00 a.m. – 5:00 p.m.
Salary: $16.85 per/hr. ($35,048.00)
Position Summary
The Customer Service Representative provides front-line assistance to the public by processing payments, answering incoming calls, and supplying accurate information regarding municipal services. This position ensures courteous, timely, and efficient service to residents, visitors, and vendors interacting with City Hall.
Essential Duties & Responsibilities
• Receive and process customer payments for municipal services, including check, money orders, and card transactions.
• Issue receipts and maintain accurate daily payment logs and transaction reports.
• Answer incoming phone calls; provide information, transfer calls, and take messages as needed.
• Assist walk-in customers with inquiries regarding city services, billing questions, account details, forms, and general information.
• Perform account lookups, update customer records, and verify information.
• Resolve basic customer issues or escalate more complex matters as needed.
• Maintain organized files and documents in accordance with city policy and state retention requirements.
• Ensure the front desk/lobby area remains clean, organized, and welcoming.
• Follow all municipal policies, confidentiality standards, and customer service protocols.
• Perform other related duties as assigned.
Knowledge, Skills & Abilities
• Strong customer service and communication skills.
• Ability to work professionally with the public in a fast-paced environment.
• Basic knowledge of payment processing and cash handling procedures.
• Ability to learn and operate municipal billing or service software.
• Strong attention to detail and accuracy.
• Ability to handle difficult or frustrated customers professionally.
• Proficiency in Microsoft Office (Outlook, Word, Excel).
Minimum Qualifications
• High school diploma or GED required.
• One (1) year of customer service, cashiering, clerical, or receptionist experience preferred.
• Government experience preferred.
• Must pass background check and meet all municipal employment requirements.
Working Conditions
• Standard office environment with frequent interaction with the public.
• Extended periods of sitting or standing at a workstation.
• Regular use of computers, phone systems, and payment processing equipment.
